What You’ll Do

An amazing place to work takes incredible people. We are seeking an upbeat, highly organized, and detail-oriented Talent and Culture Admin. The Talent & Culture team helps nurture and deliver the best possible experience for everyone that comes in contact or works at Otto. This role provides an exciting opportunity for the right person who is eager to make this role their own and create an immediate impact throughout the organization.

Schedule & Onsite Requirements

  • This is a contractor position, requiring approximately 20 hours per week (closer to 40 hours a week during All Staff Events that occur twice a year). Hours are flexible during business hours (8am-5pm).
  • Hybrid Role - Approximately 75% in office (depending on the demands of the week).
  • Office is located at 2400 East Cesar Chavez in Austin, TX

Duties and responsibilities include:

HR Administrative Tasks

  • Execute administrative functions for the Talent and Culture (Human Resources) Department.
  • Support the Director of Talent and Culture with onboarding new employees and provide access to our office and HR related platforms.
  • Assist in project managing and communicating annual Talent and Culture initiatives, including performance appraisals, engagement surveys, company events, and others as they arise.
  • Assist with planning and logistics of office, virtual, and company events
  • Champion celebrations, recognition, and company-wide communications.
  • Provide team with administrative assistance and assist with special projects
  • Maintain accurate employee records and documentation
  • Collaborate with the Talent and Culture team in developing smooth and automated processes

Office Coordination (2400 E Cesar Chavez St)

  • Lead the day-to-day office operations, including maintaining office and kitchen supplies, serving as primary point of contact with maintenance and janitorial staff.
  • Coordinate with cleaning companies and property management on maintenance and cleaning requests. Ensure office is cleaned regularly and ready for daily use of the team.
  • Ensure that all office equipment is properly maintained and serviced, manage inventory, and order supplies on a weekly basis.
  • Manage office vendors and act as the point of contact by providing on-site support as needed; review scope and quality of work
  • Continuously seek out and implement employee feedback to improve various office programs and perks ranging from pantry, lunch/dinner, parking, events, etc.
  • Keep HQ office orderly, equipped and organized. Order, track inventory, and stock office supplies, snacks, and swag
  • Plan, organize & setup/clean up office lunches and event food for the team
  • Handle incoming and outgoing packages and deliveries, check mail.

Qualifications include:

  • 1-2+ years of HR administrative/office coordination or equivalent experience
  • Friendly and enthusiastic can-do attitude
  • Self-directed, highly efficient, detail-oriented problem solver with demonstrated experience and creativity in developing and improving processes
  • Highly organized with the ability to prioritize deadlines and manage workload effectively, always following projects through to completion
  • Exceptional interpersonal skills, empathy, and the ability to build relationships across different functions
  • Excellent written and verbal communication skills
  • Ability to track and spend according to allocated budget
  • Proficiency with Google Workspace
  • Ability to lift up to 30 pounds to assist with various physical tasks within the office environment

Schedule & Onsite Requirements
